1. Entry & Participation
1.1 Entries are only confirmed once full payment has been received.
1.2 Entries are limited to 800 participants.
1.3 The organiser reserves the right to close entries once capacity has been reached.
1.4 Participants must complete the event using their own physical ability and may not transfer their race number during the event.
1.5 Participants enter and participate entirely at their own risk.
2. Refunds, Cancellations & Substitutions
2.1 No refunds will be issued for cancellations, non-attendance, illness, injury, or any other reason.
2.2 Substitutions may be permitted before the official entry closing date, subject to an administration fee.
2.3 No substitutions or distance changes will be processed after the communicated deadline.
3. Event Changes
3.1 The organiser reserves the right to change routes, distances, start times, venue layouts, or any other aspect of the event should circumstances require it.
3.2 The organiser reserves the right to cancel or postpone the event due to weather conditions, safety concerns, force majeure, or circumstances beyond reasonable control.
3.3 No refunds will be issued in the case of cancellation due to force majeure, including but not limited to extreme weather, natural disasters, government restrictions, strikes, pandemics, or unsafe conditions.
4. Medical & Safety
4.1 Participants confirm that they are medically fit and sufficiently trained to participate in the event.
4.2 Participants must obey all instructions from event officials, marshals, medics, and venue staff.
4.3 The organiser may remove any participant deemed medically unfit or posing a danger to themselves or others.
4.4 Participants are responsible for carrying sufficient hydration and nutrition suitable for their chosen distance.
5. Trail & Environmental Responsibility
5.1 No littering will be tolerated. Participants may only dispose of waste in designated litter zones or bins.
5.2 Any participant found damaging property, vegetation, trails, or the environment may be disqualified immediately.
5.3 Participants must remain on the marked route at all times.
6. Liability & Indemnity
6.1 Participation in trail running involves inherent risks including but not limited to falls, injuries, wildlife encounters, adverse weather conditions, and uneven terrain.
6.2 By entering, participants voluntarily assume all risks associated with participation.
6.3 The organiser, landowners, sponsors, service providers, staff, volunteers, and affiliates shall not be held liable for any injury, loss, damage, theft, death, or expense arising from participation in the event.
7. Photography & Media
7.1 Participants grant the organiser and its partners permission to use photographs, videos, drone footage, or other media captured during the event for marketing, promotional, and media purposes without compensation.
8. Race Rules
8.1 Race numbers must be worn visibly at all times during the event.
8.2 Cutting the route, cheating, unsportsmanlike conduct, or failure to follow event rules may result in disqualification.
8.3 Headphones are discouraged for safety reasons.
9. Personal Information
9.1 By entering, participants consent to the collection and processing of personal information for event administration and communication purposes.
9.2 Personal information will not be sold to third parties.
10. Acceptance
10.1 By entering Koppie 2 Koppie Trail, participants acknowledge that they have read, understood, and accepted these Terms & Conditions.
10.2 Entry into the event constitutes acceptance of all event rules and regulations.
